Manage Invitations, Submissions and Comments

As your invitations become more popular, and you create more of them, managing all of them, along with their submissions and comments, can become time-consuming.

The Manage Invitations, Submissions and Comments tool reduces scrolling and lets you go directly to the management tool you want to use.

It also gives you an overall view of which invitations are the most popular, which ones are receiving lots of comments, and which ones need work.

This tool has five columns...

  1. Invitation Name

Each invitation you build appears in this column. The name you give the invitation becomes the link here. Click on the link to go to the Invitation Manager for that invitation, where you can edit it or any of its related parts.

Click on the Invitation Name column header to sort the invitations alphabetically (numbers come before letters when sorted A-Z, which is the default sort for this column).

  2. New Submissions

Whenever you receive at least one new submission for an invitation, a number (1 or greater) will appear here as a link.

If the number is 1, click on the link to go directly to the editing tool page. If the number is 2 or higher, click on the link to go to the list of new submissions for that invitation.

Edit your way through the list from there.

Click on the New Submissions column header to sort the invitations by the number of outstanding submissions to approve (the default sort is the highest number of not-yet-approved submissions).

  3. New Comments

Whenever a submission receives a new comment, you'll see a number (1 or greater) appear here as a link.

Click the link to go to the existing submissions management tool, where you'll see the flashing C2 alert icon, which tells you which submissions have new comments.

Click on the comments link to edit the new comment(s) for that submission.

Click on the New Comments column header to sort the invitations by the number of outstanding comments to review (the default sort is the highest number of unreviewed comments).

If you want to review the submission before reviewing the comment, click on the submission's title.

If you have elected to review all comments (next column, below), any new comment will appear in the New Comments column and the Pending Comments column.

  4. Pending Comments

If you selected to review all comments before publishing, any comments that you haven't yet reviewed and acted on will appear in this column as a number.

Click on the number to go to the existing submissions management tool, where you'll see the red P icon, which tells you which submissions have comments awaiting your review.

Click on the Pending Comments column header to sort the invitations by the number of outstanding comments to approve (the default sort is the highest number of pending comments).

If you want to review the submission before reviewing the comment, click on the submission's title.

If you see a number only in the Pending Comments column (none in New Comments), then you have already viewed the comments, but have not yet acted on them.

  5. Existing Submissions/Comments

Once an invitation receives its first submission, this column will show the number of submissions and the number of comments, separated by a slash (e.g., 6/10). Click on the number to go to the existing submissions management tool, where you can...

    • move, edit or delete a submission, or

    • edit/publish or delete a comment.

Click on the Existing Submissions column header to sort the invitations by the number of existing submissions (the default sort is the highest number of submissions).

Click on the Existing Comments column header to sort the invitations by the number of outstanding comments to review/approve (the default sort is the highest number of unreviewed or pending comments).
